Calendar MigrationCalendar Migration Information

When the University switches from using CorporateTime calendaring to Microsoft Exchange calendaring the week of January 5, 2009, your CorporateTime information will automatically be moved into your Exchange calendar. No action is required on your part. The following information will help you prepare for that change and will also be covered in OIT-provided training.

  • CorporateTime Shut Down: CorporateTime will be shut down at 5PM on Friday, December 19, 2008 and will remain down throughout the conversion. We will turn CorporateTime back on after the conversion to Exchange is complete so that you can verify that your calendar information transferred correctly.
  • CorporateTime Information Moved to Exchange: CorporateTime information from August 1, 2007 through the future will automatically be moved to Exchange for you. If you need calendar data from earlier than August 1, 2007, you can manually move this information to Exchange. (Instructions available soon.)
  • Meetings & Notes: All meeting and note information will migrate over, including meeting/note title, attendees, confidentiality, date, and time.
  • Recurring Meetings: All instances of recurring meetings and notes will migrate over, however Exchange may not be able to link all of those instances together if the recurrence pattern is not an available recurrence pattern in Exchange.
  • Some Meetings May Show Tentative: Meetings that you created in CorporateTime may show as "tentative" on your Exchange calendar, but will show as confirmed on any attendees' calendars.
  • Day Long Daily Notes: A few daily notes may get converted as 24 hour long meetings (e.g., 7AM to 7AM), but your time will not show as blocked for that entire time.
  • Cancelling Converted Meetings: For meetings that are converted from CorporateTime, in order to alert attendees that the meeting is canceled, you must go into the meeting and specifically choose to "Cancel Meeting." Simply deleting the meeting from the Exchange calendar will not notify the attendees if the meeting was migrated from CorporateTime.
  • Merging With An Existing Exchange Calendar: If your Exchange calendar already contains meetings and/or notes in it, the migration process will attempt to merge the CorporateTime information with the Exchange information. If it is unable to do so, the migration process will create duplicate or conflicting entries. No information in Exchange will be deleted by the migration process.
  • Groups From CorporateTime: In Exchange, you will need to recreate any groups that you may have created in CorporateTime. Instructions on using groups in Exchange are available here.
  • CorporateTime Access Rights & Delegates: CorporateTime access rights and delegate permissions will not automatically transfer to Exchange, so you will need to setup any access rights and delegate permissions within Exchange.
