Exchange Department Preparation Information

In preparation to migrate your department's email service to Exchange, you will want to work through the following:
- Confirm list of email NetIDs that are part of your department
- Does anyone need to setup email forwarding?
- Does anyone need to setup vacation/auto-reply?
- Make sure each person sets their EDS Nickname to the desired directory Display Name if needed
- Make sure each person sets their EDS Preferred Email Alias
- Identify any Blackberry users who want to use Blackberry Enterprise Server (BES) now
- Update their cell phone plans to Enterprise at least a week ahead of migration
- Identify any departmental email accounts that are needed
- Identify owner(s)
- Identify if mail is currently forwarded elsewhere or not
- Will all users be moving to Outlook/Entourage? Only some? When? Or no changes?
- Work with all users to clean up existing mailboxes on personal and departmental accounts (e.g., empty trash and spam folders)
- IT contacts need to determine if they need support assistance during the migration
- IT and management contacts need alert their departments to the upcoming changes
- IT and management contacts need to alert their departments to training opportunities
In preparation for the calendar move to Exchange, you will want to work through the following:
- Confirm list of CorporateTime users and NetIDs
- Identify any Blackberry users who want to use BES
- If they used SyncML with CorporateTime, fix any midnight “meetings” in CorporateTime the day before the flag-day cutover
- Identify any CorporateTime resource accounts that will need to move for calendar migration
- Identify owner(s)
- Identify appropriate level of access for non-owner(s)
- Identify any new resource calendars that are needed
- Identify owner(s)
- Identify appropriate level of access for non-owner(s)
- Will all users be moving to Outlook/Entourage? Only some? When? Or no changes?
