    Showing Your Future Availability in Exchange Calendar

    By default, your calendar is set to display your available and busy time (a.k.a “Free/Busy” time) for two months into the future. This means that if someone schedules a meeting with you beyond the two month window, they may not be looking at the most up-to-date information regarding your availability. To show future availability beyond two months, follow the instructions below.

    For Outlook 2007 Users

    1. Choose Tools > Options.

    2. Click the Calendar Options button.

    3. In the Calendar Options window, click the Free/Busy Options button.

    4. In the Calendar Properties window, click the Other Free/Busy… button.

    5. In the Free/Busy Options window, change your “Publish X months of Calendar free/busy information on the server” to the number of months you wish to publish out in advance. A setting of twelve (12) months is recommended. Additionally, it is recommended the setting “Update your free/busy information on the server to every 60 minutes” (default is 15 minutes).

    6. Click OK on the appropriate windows to close them and complete the process.
