Inviting Exchange Resources to Meetings

As in most enterprise calendaring systems, you can invite resources, such as rooms or equipment, to meetings also. These instructions will explain how to invite Notre Dame Exchange resources to meetings.

Inviting a Resource Using Entourage

To invite a resource to your meeting, type in the resource’s e‐mail address in the To: field of the event invitation. You can find the name of your old CorporateTime resources and the associated e‐mail addresses at http://oit.nd.edu/exchange/resource_crosswalk.shtml.

It is recommended that you create an address book entry for the resources you use regularly. They will then be added to your Contacts and can be searched on.

Inviting a Resource Using iCal (Snow Leopard)

To invite a resource to your meeting, type the name of the resource in the Location field of the event details. If it is a valid resource in Exchange, you'll see the full Exchange name and internal email address for the resource pop-up (e.g., OIT ITC 300 <r_comp_300@nd.edu>). Resources are named using the standard format <department> <building> <room number> (e.g., OIT ITC 300). If you do not know the name of your resource, you can search the Exchange global address list using Address Book.

Inviting a Resource in Outlook

To invite a resource to your meeting, within the meeting invitation, click the Rooms button to view a list of resources (Note: this is for all resources, not just rooms).

You can also refine the list of resources by entering part of the name of your resource. Once you’ve found the resource, double-click it to add it to the Rooms field and click OK.

Inviting a Resource in OWA Premium (Using Internet Explorer)

To invite a resource to your meeting, from within the meeting invitation click on Resources and then click All Rooms to see a list of all resources.

You can also refine the list of resources by entering part of the name of your resource. Once you’ve found the resource, select it and click Resources to add it to the Resource field. When finished, click OK.

Inviting Resources in OWA Light (Using Any Non-Internet Explorer Web Browser)

To invite a resource to your meeting, in the Search field enter search criteria for your resource (e.g. the first word of the resource) select All Rooms from the Address Book pull‐down menu and click the Search (magnifying glass) icon. Select the room from the list of resources to reserve and click Resources. When finished, click Done.
