Viewing Someone Else's Exchange Calendar

If someone else has granted your permission to view their calendar or act as their delegate, you will need to open their calendar. The following instructions will walk you through doing this.
Outlook
Entourage
OWA Premium (using IE ONLY)
iCal (Snow Leopard)
OWA Light is not able to view other people's calendars except through the meeting scheduling assistant.
Outlook
Please note: These instructions will only work if someone has granted you permission to their calendar. Also, if someone has JUST shared their calendar with you, you may need to exit and re-launch Outlook in order for that permission to take effect on your computer.
- Login to Outlook using your Notre Dame email address and password.
- Go to the Calendar module of Outlook.
- From the left side, click Open a Shared Calendar...
- From the Open a Shared Calendar dialog, click the Name... button.
- Search either the Global Address List or the All Users list to find the person you want to share your calendar with. Click their name, and then click OK.
- The name of the individual you selected will be filed into the Name... field. Click the OK button.
- The calendar for that individual will open in Outlook and will also be added to the list of calendar in the left Outlook calendar pane.
You can add or remove the check box next to any shared calendar you have opened before show or un-show that calendar.

Entourage
Please note: These instructions will only work if someone has granted you permission to their calendar.
- Open Entourage and login with your Notre Dame NetID and password.
- Go to the Calendar module of Entourage.
- Go to the File menu, and select Open Other User’s Folder…

- Click the Addressbook button to search for the individual whose calendar you want to view.

- Search for the name of the person whose calendar you want to view.

- Then Ctrl-click on any of the column headings and select Alias.

- This will add a column to the view that will list the person’s NetID for you. Take note of their NetID. Highlight their name in the list. Then click Advanced…

- In the Advanced Settings dialog, the name of the person and their email address will be filled in correctly. You will need to adjust the Server address field to read:
https://owa.nd.edu/exchange/netid@nd.edu
(Fill in the person’s NetID that you noted in step 7 for the word ‘netid’)

- Click OK.
- You will return to the Open Other User’s Folder dialog with the User field filled in. Click OK.

- You will return to the main calendar view. On the left, you will now see an entry for the person’s account. Click the arrow next to their name to show their calendar account. Then highlight that entry to view their calendar.
Please note: The first time you view someone else’s calendar, it may take several minutes to load their calendar information.

OWA Premium (Using IE ONLY)
Please note: These instructions will only work if someone has granted you permission to their calendar.
- Using Internet Explorer, login to OWA with your NetID and password.
- After logging in, go to the location bar of IE, and change the URL to:
https://owa.nd.edu/owa/netid@nd.edu/?cmd=contents&f=calendar
(change netid to the NetID of the individual whose calendar you want to view) - To return to your OWA account, just use the IE browser back button.

iCal (Snow Leopard)
- Launch iCal.
- From the iCal menu, select Preferences, and click on the Accounts category.
- Select your Exchange account.
- Click on the Delegation tab.
- Click on the + button.
- Type the name of the individual or room for which you act as a delegate or that you have rights to view.
- Exit the iCal Preferences dialog.
- In iCal, you should now see that person’s or room’s calendar listed under the Delegate section on the left.
