CorporateTime will be Unavailable Beginning at 5:00 PM 12/19/08

The calendar conversion to Microsoft Exchange begins Friday night. CorporateTime will be shut down at 5PM on Friday, December 19, 2008 and will remain down throughout the conversion. We will turn CorporateTime back on after the conversion to Exchange is complete so that you can verify that your calendar information transferred correctly.

DO I NEED TO USE OUTLOOK/ENTOURAGE FOR CALENDARING OR IS OWA OK?

When we switch from CorporateTime to Exchange for calendaring at Notre Dame, you will need to start using different programs to access your calendar.  There are three programs that you can use to access the calendar:  Outlook (configured for a MAPI connection), Entourage (configured for an Exchange connection), or OWA (the web site to access Exchange email, calendaring, and contacts).  Each of these programs is a little bit different.

Depending on how you use calendaring, you may need to use Outlook or Entourage, or you might be just fine accessing calendaring through OWA.  To help you understand what program you will need to use, we’ve created a decision tree on the web at oit.nd.edu/exchange/decisiontree_top.shtml.

Please review this and make sure you are ready to use the right program by Wednesday, January 7 when we change to Exchange calendaring.  Instructions on how to configure Outlook and Entourage correctly are linked from the decision tree and can be found by visiting oit.nd.edu/exchange.  Note for Entourage users:  we recently updated the instructions for configuring Entourage; if you configured Entourage prior to today, you may want to re-verify that your settings are correct.

MAKE BACKUP PRINT & ELECTRONIC COPIES OF YOUR CORPORATETIME AGENDA

Since the CorporateTime calendar will be unavailable starting Friday, December 19 at 5PM, you will want to make sure that you have backup copies of your calendar.  We’ve provided instructions for you on how to download an electronic copy and suggestions on how to print a copy of your CorporateTime calendar to help get you through the next few weeks.  You can find these instructions, along with other steps to take before Friday at 5PM, on the Exchange web site at oit.nd.edu/exchange/calendarprep.shtml.

TRAINING REMINDER

We strongly encourage everyone to take advantage of the training opportunities available to you for either Outlook or Entourage.  The following courses are being offered.  You only need to attend ONE course, if you elect to attend training.

CALENDAR TIDBITS

On CorporateTime, many people had problems getting the calendar to synchronize correctly with their smartphone or PDA, often resulting in duplicate meetings or missing information.  For those of you who have smartphones or PDAs, you will be excited to learn that the most popular devices work very easily with Exchange for email, calendaring, and contacts.  Blackberry, iPhone, Windows Mobile, and newer Palm devices – Exchange can work with them!  We’ve published instructions on the Exchange web site to help you configure those devices.  Just visit oit.nd.edu/exchange to learn how.
