ACCESSING YOUR EXCHANGE CALENDAR
Now that the conversion of your calendar information is complete, you can access your Exchange calendar via Outlook, Entourage, or OWA. Remember, you must configure Outlook to use a MAPI connection or Entourage to use an Exchange connection in order to view your calendar. OWA, the webmail and calendaring site, does not require you to configure anything. Instructions on how to configure Outlook and Entourage correctly are available on the OIT Exchange web site at oit.nd.edu/exchange/setup.shtml.
LOADING YOUR CALENDAR FOR THE FIRST TIME
Also, the first time you login to Outlook, Entourage, or OWA to view your calendar, it may take a significant amount of time to load your calendar, depending on how busy your schedule is. After the first time, your calendar should load much more quickly.
POP-UP REMINDERS FOR PAST MEETINGS
When you first login to Outlook, Entourage, or OWA, you may receive pop-up reminders for past meetings. These pop-ups may come in groups or may appear several times as your calendar is first loaded. Choose to dismiss these reminders as they appear, and continue working as you normally would.
KNOWN CONVERSION ISSUES
While there are relatively few conversion issues, and they tend to be very minor, you will want to be aware of them as you review your Exchange calendar. A list of all the issues can be found on the OIT Exchange web site at oit.nd.edu/exchange/calmigration.shtml.
CALENDAR RESOURCES (ROOM, EQUIPMENT, ETC.)
You can find Exchange resources, such as rooms and equipment, beginning later today Monday, January 5. Only those CorporateTime resources that were specifically requested to be converted are in Exchange. If a resource from CorporateTime was not converted, please contact the OIT Help Desk at 574-631-8111 or oithelp@nd.edu with the name of the CorporateTime resource and the NetID of the owner.
As we begin using Exchange calendaring, all resources will be viewable and can be scheduled by anyone by default – so please be respectful of which resources you schedule and when. We will contact resource owners separately with information about how to limit access to resources within the next week.
Also of note, resources in Exchange have slightly different names than they did in CorporateTime. This change was made to help standardize the naming schemes for all resources. A crosswalk of CorporateTime resource names to Exchange resource names is available on the OIT Exchange web site at oit.nd.edu/exchange/resource_crosswalk.shtml.
More information about Exchange calendar resources is at oit.nd.edu/exchange/resources.shtml.
SHARING CALENDARS
As we stated previously, you need to configure who has access to your calendar in Exchange. By default, anyone at Notre Dame can only see your free/busy time, but no details. Information on how to share your Exchange calendar with your colleagues, as well as how to give someone delegate access to your calendar, is posted on the OIT Exchange web site at oit.nd.edu/exchange/accessrights.shtml.
CORPORATETIME AVAILABILITY
CorporateTime will be turned back on Monday, January 5 so that you can compare how your calendar information was converted into Exchange. Please remember: do not use CorporateTime to schedule new meetings or events. We will send out another notice prior to decommissioning CorporateTime.
