For countless Americans, preparing their taxes can be stressful and time consuming, with many questions being raised in the process.</p>
<p>So it’s no surprise that scammers are busy capitalizing on this uncertainty, often impersonating the IRS to trick people into sharing their sensitive information in the hopes of filing a fraudulent tax claim. Some of their common techniques are:</p>

<p>Phone calls, emails or texts that claim their target owes the IRS money and demanding payment.</p>
</li>
<ul>

<p>These messages often create a sense of urgency and fear, and can sometimes include threats of imprisonment or legal action. It’s important to stay calm and think logically about what is being claimed and the actions being asked of you.</p>

<p>Emails with attachments claiming to help with tax law changes.</p>
</li>
<ul>

<p>It’s likely the attachment contains malware, so it’s important to analyze any suspicious emails carefully. <p>Emails asking to verify information about your taxes or other financial matters.</p>

<p>Remember, the IRS or any other reputable organization will never contact you by phone, email, text message, or on social media asking you for personal information, including financial information.</p>

<p>An email or phone call with enticing offers, such as how to receive your tax return refund early.</p>
</li>
<ul>
<li dir="ltr" aria-level="2">
<p>If an offer seems too good to be true, it probably is. Use caution and think critically about what is being offered to you before engaging with messages like this.</p>

<p>Other than being aware of the common scams targeted at taxpayers, filing early can also help protect against tax fraud, as the IRS accepts only one tax return per social security number. Early submission can reduce the chances of a cyber criminal acquiring and using your information to file a fraudulent return. And bonus - you get that refund that much sooner too!</p>

<p>People tend to accumulate a lot of clutter on their devices—especially like old files, programs, emails, photos and documents. Start by reviewing what you have stored on your desktop and hard drive and follow these tips:</p>

<p>The Google First Wizarding College was a campaign designed to promote Google’s productivity tools (e.g., Docs, Sheets, Slides, Drive, Chat) to help Notre Dame staff and faculty work smarter, smoother, and safer in our increasingly hybrid environment.</p>

<h3>Efforts to Reduce ND’s Digital Storage Footprint</h3>
<p>To better manage the University’s digital storage footprint, all Google and Box accounts that have been inactive for over a year will be deleted beginning March 2024. This effort will also help maintain strong information security for the campus community and provide more effective resource management.</p>
<p>When an inactive account is deleted, all content associated with that account will be deleted. This means you will lose access to those files and folders if they were shared with you.</p>
<p>How can you maintain access to these files and folders stored in Google and Box? You can do so by moving them to Google Shared drives or a Box group account.</p>
<p>First, check to see if a document is owned by an individual, or if it is already stored in Google Shared drives or a Box group account. Follow these instructions to ensure you maintain access to important projects, research and essential files:</p>

<p>These include files and folders shared with you that you do not own or did not create. An inactive account is classified as one owned or created by a faculty/staff member or student who left the University more than a year ago.</p>
<h4>How to Maintain Access to Important Information</h4>
<p>The best way to protect access to important projects, research and essential files is to search for documents that have been shared with you, and move them to Google Shared drives or a Box group account.</p>
<p>Information saved in either of these areas is not tied to the content owner, and will guarantee continued access for all collaborators in the event that person leaves the University.</p>

<p>Identity is something unique to each person - a mix of experiences, characteristics and behaviors that make a person who they are. Identity is also made up of the paper trail and data left behind on social media, in online forms and other accounts (like Amazon and Google for example) throughout a person’s life. It’s this information that scammers use to commit identity theft. To keep your identity safe online, keep the following tips in mind:</p>
<h4>Follow Strong Password Guidelines</h4>
<p>Passwords are needed to access all types of accounts online like bank accounts, email inboxes, bill payment services - you name it! Creating strong passwords that are long and complex is critical to laying a foundation of protection for your accounts.</p>
<p>It’s also important to have a unique password for each account you own. This way, if one of your accounts is compromised, the cyber criminal will not be able to use the same password to get into your other accounts. The <a href="https://nd.service-now.com/kb_view.do?sysparm_article=KB0013552">password standard at Notre Dame</a> is a minimum of 16 characters.</p>
<h4>Keep it Easy with a Password Manager</h4>
<p>With the amount of passwords the average person needs to remember, making up long and unique passwords for each account can be challenging. By using a password manager tool, you can simplify the entire process! These tools can generate secure passwords for you and manage them all in one convenient place.</p>
<p>Notre Dame uses the <a href="https://nd.service-now.com/nd_portal?id=product_page&sys_id=41848873973695500009b8bfe153afdc&table=cmdb_ci_business_app">1Password tool</a>, which is offered at no cost to all staff, faculty and students for both campus-related and personal use.</p>
<h4>Turn on Multi-Factor Authentication</h4>
<p>If available, it’s always a great idea to add multi-factor authentication as another security control to protect your accounts. Many social media platforms, financial institutions and online retailers (among others) offer this additional security measure. Requiring a second factor to confirm your identity before the login process is completed helps minimize unauthorized access.</p>
<p>Notre Dame uses Okta two step login to provide access to its many online services available to faculty, staff and students.</p>
<h4>Stay Alert for Phishing Scams</h4>
<p>Phishing scams continue to increase University-wide. Faculty, staff, students and alumni have all received various types of phishing scams via emails, texts and phone calls. These types of scams target people in various ways and use all types of technology - including AI and voice mimicking - to trick people.</p>
<p>If you encounter a phishing attempt, do not respond, click links or open attachments. Report the message to information security right from your inbox and then delete the message right away. You can learn more about reporting and avoiding phishing in this <a href="https://nd.service-now.com/nd_portal?id=kb_article_view&sysparm_article=KB0010089">knowledge article</a>.</p>
<p>Identity Theft Awareness Week is a great reminder of the responsibility each person has to protect their personal identity, because cyber criminals are always scheming to make it their own. <p>Effective immediately, the OIT is being renamed Office of Information Technology.</p>
<p>Since its renaming from University Computing in the 1990s, OIT has stood for Office of Information Technologies. However, it is much more common for people to assume this stands for Office of Information Technology. Our experience and research show that the <a href="https://books.google.com/ngrams/graph?content=Information+Technology%2CInformation+Technologies&year_start=1950&year_end=2019&corpus=en-2019&smoothing=3">singular technology is much more popular</a>. Even the name of the OIT office building is the Information Technology Center.</p>
<p>Many OIT employees have experienced this confusion when joining Notre Dame, using the incorrect version in email signatures and other communications. Don’t forget to update your email signature!</p>
<p>While the OIT makes this change gradually, there is no plan to update vehicle wraps or business cards at this time. Those will be updated as they naturally come up for maintenance or replacement.</p>

It's easy to customize your messages to remind those who try to contact you over the holiday break that you are away from the office. <h4>Traveling? Plan Ahead For Using Two Step Login</h4>
<p>For those traveling over the holidays, be sure to take one of your devices configured for two step login. By doing so, you will be able to log into email and other ND services while away. This is especially important if you will be traveling to areas outside of the United States where you may not have cell service. <h3>WHILE YOU’RE AWAY</h3>
<h4>Accessing Notre Dame Resources From Off-Campus</h4>
<p>When accessing Notre Dame services away from campus, you may be required to use a Virtual Private Network (VPN). The VPN provides a secure connection to data in resources such as Banner, Business Objects, GLEZ, CIF Reporting and Advance.</p>
<p>If you have not already installed the VPN software on your device, you can download the installation file from this <a href="https://oit.nd.edu/downloads/vpn---cisco-secure-client/">OIT web page</a> (you must login with your NetID and password to access this page).</p>
<h4>Check Your Voicemail From Off-Campus</h4>
<p>Remember, you can check your voicemail two convenient ways:</p>
<ul>
<li>Configure your voicemail to deliver your voicemail messages to your email inbox via Cisco Unified Messaging. The message will arrive in your inbox as a ".wav" file which can be played from most computers and mobile devices. Instructions are available in this <a href="https://nd.service-now.com/nd_portal?id=kb_article_view&sysparm_article=KB0014961">knowledge article</a>.</li>
<li>Listen to your voicemail from off-campus. Just dial 574-631-7474 to get into the campus voicemail system. You will need to know your voicemail PIN for your VoIP phone. Follow the instructions in this <a href="https://nd.service-now.com/nd_portal?id=kb_article&sysparm_article=KB0010551">knowledge article</a>.</li>
</ul>
<p>If you have forgotten your voicemail PIN, you can change it by going to the<a href="http://voicemail.nd.edu"> voicemail web portal</a>. Login with your NetID and password, then click on “Settings,” “Passwords,” and “Change PIN.”</p>
<h4>If You Receive A New Mobile Device as a Gift</h4>
<p>When you receive a new cell phone or tablet, you’ll need to check your Okta settings BEFORE you activate your new device:</p>
<ul>
<li>Before you ACTIVATE the new device, verify that you have ENROLLED an option such as SMS (text message), Voice Call or Secure Key.</li>
<li>If you ONLY enrolled in Okta Verify or Google Authenticator, these options will not work on the new device until you RE-ENROLL these options on the new device at <a href="http://okta.nd.edu">okta.nd.edu</a>.</li>
</ul>

<p>All signs point to convenience and comfort winning over the masses, and cybercriminals know it, as they are counting on everyone spending more time and sharing more data online this time of year. While making online purchases this holiday season, keep those transactions secure with the tips listed below.</p>
<h4>Know Your Retailers and Their Sites</h4>
<ul>
<li>Navigate directly – Deals are often delivered right to your inbox, but to be sure they’re legitimate, go directly to your favorite retailers’ websites rather than clicking on links in emails.</li>
<li>Identify website security features – When visiting websites, watch for a padlock icon in your browser window. Or a URL that starts with “HTTPS” where the “S” stands for secure. Seeing either of these features means that any transactions on that website will be private.</li>
<li>Avoid resale sites – Scammers love to buy up the high-demand items of the season and then sell them at skyrocketing prices on resale sites (like eBay). It’s best to avoid this type of shopping experience, and the increased risk of counterfeit items and fraud that comes along with it.</li>
<li>Let other shoppers help you – Be wary of online retailers with significant negative reviews or no reviews, as this could mean they aren’t what they seem.</li>
</ul>
<h4>Keep Privacy and Security Top of Mind</h4>
<ul>
<li>Opt for a secure payment method – Third-party digital wallets like Apple Pay and Google Pay store your card information, then encode it so a retailer doesn’t receive your full card number.</li>
<li>Avoid free public Wi-Fi – While convenient, public Wi-Fi is not secure and cybercriminals can easily monitor your activity. Instead, use personal mobile hotspots and VPNs. These are more secure options if you need to make a purchase while out and about.</li>
<li>Share your information carefully – Use caution with online retailers that ask for unconventional information to complete your purchase - like social security number or wire transfer details - and try another retailer if you’re concerned.</li>
</ul>
<p>Finally, always closely monitor your bank account and other financial statements. Be sure to verify all purchases listed are legitimate, and report any unrecognized transactions to your financial institution.</p>

<p>This year’s theme focuses on simple actions that can be taken to protect personal information online.</p>
<p>In support of that theme, the Office of Information Technologies (OIT) wants to help you stay scam aware with a new video series. Learn about the latest scams, see how they work, and how to avoid falling for it. More information about these videos will be available throughout the month of October.</p>
<p>Cybersecurity awareness month is a great reminder to ensure the following safe practices are implemented year round.</p>
<h4>Create Strong Passwords</h4>
<p>Passwords are the first layer of protection for your accounts and digital resources. Follow the guidelines below to keep your passwords strong in order to protect your accounts:</p>
<ul>
<li>Passwords should be a minimum of 16 characters</li>
<li>Avoid using names, predictable phrases, birthdays or number sequences that can be easily guessed</li>
<li>Use a different password with each account you create</li>
</ul>
<h4>Use a Password Manager</h4>
<p>The average person has between 70-100 passwords to remember. Why try to remember all those passwords when a password manager can do it for you? 1Password is available to ND faculty and staff at no cost.</p>
<p>1Password will create and save long and unique passwords for each of your online accounts. It is the most convenient way to safely generate, store and access your passwords.</p>

<h4>Enable Multi-factor Authentication</h4>
<p>Combining the use of strong passwords and two-step authentication makes it more difficult for cyber-criminals to access personal account information.</p>
<p>By enabling this security feature, you will be required to enter two different factors to confirm your identity when logging into personal accounts.</p>
<p>The first factor will be something you know like a password or PIN number. The second factor will be something you have like a code sent to your cell phone, or a personal identifier such as your fingerprint or other biometric information.</p>
<p>Notre Dame services require two-step authentication via Okta, and many of your personal accounts offer it as well. The option to enable multi-factor authentication is usually found in your account settings under security.</p>
<h4>Recognize & Report Phishing</h4>
<p>Phishing messages are one of the most common ways cyber criminals try to steal personal information. Cybercriminals will often impersonate legitimate companies or people in order to make their messages appear to be more credible. These messages can be delivered via email, phone call and SMS messaging.</p>
<p>Cyber criminals also use more advanced tactics—making phishing attempts increasingly harder to recognize. If you have suspicions about a message, ask yourself these questions when evaluating it:</p>
<ul>
<li>Does the message have a sense of urgency?</li>
<li>Is the message unsolicited?</li>
<li>Does the message have an unusual "From" or "Reply-To" address instead of a recognizable "@nd.edu" style address?</li>
<li>Does the message include a URL that doesn’t match the name of the institution it claims to represent?</li>
<li>Does the message contain a link, attachment or other request to take action?</li>

<h4>Keep Software Updated</h4>
<p>Operating systems of devices that connect to the Internet like computers, smart watches, televisions, cameras or tablets need to be updated on a regular basis.</p>
<p>Software manufacturers will provide updates to address security issues, as well as introduce new features and performance enhancements for applications used on your computer and mobile devices.</p>
<p>It is important to apply these updates as soon as they are released. An easy way to do this is to enable automatic updates for these software applications. Additionally, you will receive an email message from the Office of Information Technologies (OIT) about urgent security updates to commonly used software on campus.</p>

Most people use cell phones to check email, play games, make payments, and many other functions that could only be done on computers.</p> <p>In fact, according to a Zippia research article,…</p><p>Cell phones and other mobile devices have transformed the way people interact with technology on a daily basis. Most people use cell phones to check email, play games, make payments, and many other functions that could only be done on computers.</p>
<p>In fact, according to a Zippia research article, 81.6% of Americans, totaling 270 million people, own a smartphone as of 2023.</p>
<p>Smartphones, tablets, and other mobile devices are prime targets for cybercriminals. They are easy to steal, use many software applications that could be susceptible to attack, and contain a wealth of information about the device owner.</p>
<p>Many technical security safeguards are not as sophisticated for smartphones and tablets as they are for personal computers. As such, security for mobile devices relies heavily on the owner making conscious choices. Here are some ways to protect your smartphones and other mobile devices against malicious activity:</p>
<p><strong>Use a Pin, Password or Pattern:</strong> In the event of loss or theft, using a password, personal identification number (PIN), or pattern will add an extra layer of security. Additionally, using a password manager to create and store unique passwords for each account accessible on your phone will prevent personal information from being exposed if your device fell into the wrong hands.</p>
<p><strong>Install Apps from Trusted Sources:</strong> Whether you want to download a game to pass the time or a banking app, be sure to use a trusted source such as Google Play or the App Store. Both of these application marketplaces do security vetting before approving applications for download.</p>
<p><strong>Know Your App Permissions:</strong> Upon installation, most applications will request access to different services available on your phone. In many cases, the applications need this access in order for them to function as expected.</p>
<p>For example, a photo-editing application will need access to your camera roll. A voice memo application will need access to your microphone, etc.</p>
<p>Some applications may request more access than is necessary for basic functionality. Applications may also end up with unnecessary permissions over time if the usage of the application changes. Once access is initially allowed, it is not changed unless you disable it.</p>
<p>Periodically review your application permissions by visiting your settings to ensure they only have access to what they need. <p><strong>Update Your OS and Apps Regularly:</strong> Updates are released to address security flaws. Applying updates will protect your mobile device from being vulnerable to cyber attacks. These updates also provide additional benefits such as unlocking new features and improving overall usability.</p>
<p><strong>Use WiFi and Bluetooth Connections Carefully:</strong> WiFi networks and Bluetooth connections offer easy connectivity, but they can also serve as entry points for cybercriminals if not secured properly.</p>
<p>Public WiFi networks could allow a cybercriminal to monitor your online activity that could lead to exposure of your personal information. Additionally, disabling Bluetooth when it is not needed helps make your device less discoverable to potential criminals or unauthorized parties trying to pair devices.</p>
<p>To protect your online activities, avoid handling sensitive information while connected to public WiFi networks. Disabling automatic WiFi connections on your device will allow you to connect your device to trusted networks as needed.</p>

<p>To ensure you can connect to the campus WiFi network, run the eduroam setup utility by visiting<a href="https://eduroam.nd.edu"> eduroam.nd.edu</a> on each of your devices as soon as possible. The eduroam utility has already been updated with the new certificate.</p>
<p><strong>Follow the steps below on all your wireless devices before 6 a.m. July 19 to maintain an uninterrupted connection to the campus network.</strong></p>

<li>Open a browser from an existing network (eduroam, ND-guest, wired, home, etc.)</li>
<li>Download the eduroam utility at <a href="https://eduroam.nd.edu" target="_blank" rel="noopener">eduroam.nd.edu</a>
</li>
<li>Follow the instructions to run the eduroam utility</li>

<li>Repeat these steps for all of your devices (laptops, smartphones and tablets)</li>

<p><em><strong>PLEASE NOTE:</strong> To run the utility on an i<strong>Phone or iPad, you must use the Safari browser. </strong>The utility will not work on iOS devices using the Chrome browser. Laptop users and Android users can still use the Chrome browser.</em></p>
<p>Many IT services are not accessible when connected to ND-Guest, including Banner, Remote Apps, CorpFS, SharePoint, GLez, PeopleEZ, Business Objects, and others. <strong>To restore access to the eduroam network after July 19, follow the steps above.</strong></p>
<p>Because the security certificate for eduroam wireless will change, the eduroam setup utility is the most reliable way to configure the new certificate on your device.</p>

The ability to post life updates can make individuals feel connected and up-to-date with others they may not see on a regular basis. </span></span></p>
<p><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">While social media is now a regular part of daily life, sharing information on social media sites (Facebook, Twitter, Instagram, etc.), it also comes with the risk of over-exposing personal information. Follow the guidelines below to protect your identity and information.</span></span></p>
<p><strong style="font-variant: normal; font-weight: bold; white-space: pre-wrap;"><span style="font-style: normal;">Be mindful of what you post: </span></strong><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">Before posting content online, ask yourself if you would be comfortable with anyone seeing it. You may intend on sharing your posts with close friends, but anyone can take a screenshot or copy the data more broadly once it’s published.</span></span></p>
<p><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">Additionally, the check-in feature is a popular way to tag the location of where you are. Avoid “checking-in” while at home or in other private locations. Delay posting vacation pictures until after you’ve returned. Doing so helps ensure that no one viewing your profile is aware that you are away from home.</span></span></p>
<p><strong style="font-variant: normal; font-weight: bold; white-space: pre-wrap;"><span style="font-style: normal;">Verify friend requests before accepting: </span></strong><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">Social media sites are littered with fake accounts, especially Facebook. If you receive a friend request from someone you don’t know, take a look at their profile before accepting it. Verify that you have mutual friends. If the request doesn’t appear to be from someone you know, it’s best not to accept it as it could be from a scammer or bot. </span></span></p>
<p><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">Cyber criminals may also create fake profiles impersonating someone you do know. If you receive a request from someone you are already friends with, or haven’t heard from in a while, verify their account is legitimate. These indicators may be a sign of a fraudulent account.</span></span></p>

<p><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">If any of these indicators apply, delete the request. If the requester is posing as someone you know, check-in with the person through text, phone call, or in person before accepting the request.</span></span></p>
<p><strong style="font-variant: normal; font-weight: bold; white-space: pre-wrap;"><span style="font-style: normal;">Enforce strong privacy and security settings: </span></strong><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">Familiarize yourself with the privacy settings for each social media platform you use. Locking down your social media accounts so only verified friends can view your profile minimizes the potential of identity theft and visibility of your information to strangers. Additionally, enabling multi-factor authentication for each of your social media accounts can reduce the likelihood of someone gaining unauthorized access.</span></span></p>
<p><strong style="font-variant: normal; font-weight: bold; white-space: pre-wrap;"><span style="font-style: normal;">Use strong passwords: </span></strong><span style="font-variant: normal; font-weight: 400; white-space: pre-wrap;"><span style="font-style: normal;">Use long and unique passwords with each of your accounts. By doing so, if one account gets compromised, the cyber criminal won’t be able to use the same password to access your other accounts.</span></span></p>
