Device Lifecycle
Device Lifecycle: Keeping Our Campus Tech Running Smoothly

Asset Lifecycle Management uses two core tools, SAM Pro and HAM Pro, to manage all University-owned technology. Think of this as getting our entire campus tech inventory organized and efficient so you get faster, better service.
Why This Matters to You
This project is not just about tracking devices; it's about improving efficiency, saving time, and ensuring we know exactly where our assets are.
-
Better Asset Visibility (Know What We Have):
-
Creates a single, accurate list for all University hardware.
-
Provides a "source of truth" to inform purchasing decisions and prevent waste.
-
Enhanced Efficiency (Get Things Done Faster):
-
Automates time-consuming tasks like asset requests, approvals, and inventory transfers.
-
Reduces the need for manual spreadsheets and tracking, freeing up staff time.
-
Improved Compliance (Stay Audit Ready):
-
Maintains real-time asset records to quickly support audits and compliance checks.
-
Minimizes the risk associated with inaccurate or missing asset information.
-
Increased User Satisfaction (Faster Service):
-
Accelerates device fulfillment (getting you your new equipment quickly).
-
Reduces issues caused by lost or misplaced equipment.
| Tool Name | What It Does (Simple) | Why It Matters to You (The Benefit) |
| SAM Pro | Software Manager: Maintains an inventory of software on campus to ensure we have the correct licenses and are good stewards of University resources | Easy & Safe Software: Simpler software requests through improved license and funding visibility. |
| HAM Pro | Hardware Tracker: Maintains an inventory of physical devices (laptops, desktops, etc.) from when it’s bought until it's retired. | Faster Replacements: Makes the process of getting a new computer easier, quicker, and more predictable. |
The Big Win:
By knowing exactly what software is installed and where all the hardware is located, our IT teams can:
-
Solve Problems Faster: Quickly diagnose and fix issues with accurate data.
-
Save Money: Ensure we only pay for the software licenses we actually need.
-
Plan Smarter: Easily predict when devices need replacing, leading to a smoother, faster upgrade cycle for everyone.

What is Software Asset Management
Software Asset Management is the strategic process for managing and optimizing the University of Notre Dame's investment in software, from specialized research tools to campus-wide productivity suites.
Software Asset Management is about enabling research and education while protecting the university's resources. It ensures that every faculty member, researcher, student, and administrator has the tools they need, when they need them, all while maintaining compliance with vendors.
True Software Visibility
-
Track software from purchase through retirement
-
Identify unused or underused licenses to reduce unnecessary spending
-
Eliminate guesswork in managing licenses and renewals
-
Centralize data on software assets and license usage
-
Strengthen compliance with licensing agreements
What is Hardware Asset Management
HAM Pro is a new system designed to make tracking and managing all of the University's physical IT equipment (like laptops, desktops, and servers) simpler, faster, and more accurate.
We are implementing ServiceNow's HAM Pro solution to replace complex, manual tracking methods with an efficient, automated system that manages the entire lifecycle of a hardware asset, from when it’s ordered to when it's retired.
